Sprint 33 Release Notes 06-27-2019

This document describes enhancements and corrections for School LINQ.

New Features

NEW! Employee LINQ Time and Attendance

Employee Registration & Login

  • NEW! Employee LINQ Time and Attendance offers a main landing page for employee Clock-in/out functionality.
  • Employees can register for Employee LINQ by entering the following information:
    • Username (check Use Existing User Name check box)
    • Email Address
    • Unit ID
    • Birthdate
    • Last 4 of Social
    • Password
    • Confirm Password
  • Upon successful registration, the user will be taken to the Login page.
    • Users will log in by entering their Username and Password set up during registration, as well as their Unit ID.

    • To retrieve and/or change password, user must enter Unit ID and User Name.

Clock In/Out

  • Employee LINQ Time and Attendance offers a main Homepage for employee Clock-in/out functionality.
    • After successful login, this page will display an employee’s Primary Job first, and additional jobs as needed.
    • Employees may only be clocked into one job at a time and must clock out of one job before clocking into another.

  • The Sort by functionality for the Vendor/Employee column has been corrected.
  • The Sort by functionality for employee’s last name when adding a new employee reimbursement invoice has been corrected.

Manage Employees: Jobs

  • NEW! When adding a job, the Allow Clocking-out check box will only display once the Allow Clocking-in check box is checked. If the Allow Clocking-in check box is not checked, the Allow Clocking-out check box with not display.

Manage Employees: Local Use Tab

  • NEW! A Local Use tab has been added for users that have any local use items to enter and attach to an employee.
    • This displays all of the column fields that were set up in Setup: Local Use Fields Tab.
    • Updates to Local Use field data are recorded in History.

Setup: Local Use Fields

  • NEW! Users can add, update, delete, and sort custom data fields here that display on the Manage Employees: Local Use Fields tab. This form allows the user to organize the Local Use Fields into logical groups.
    • The user can optionally create a sortable list of acceptable values for each field with an option to control whether or not data entries must match one of the items in the list of values, or to allow for a custom value.

Reports: Local Use Report

  • NEW! The Local Use Report allows users to pick which items from the Local Use Fields they have set up to be generated on the report. Users can Select All, or select individual items by checking the appropriate check box(es). Available Employee Status filters include All, Active, Inactive, Terminated, and Retired. Users can also eliminate fields with no data by checking the Omit Empty Values check box.

Manage Timesheets

Manage Timesheets

  • New! A new menu option is now available in combination with the new Employee LINQTime and Attendance.
    • Filters for Timesheets include Pay Group, Job, From, To, Employee, Approval, and Status. Once filters have been selected, click the Apply Filters button for the grid to display results based on the selected filters.
    • Records can be deleted from Timesheets if they are not in PAID status. Records with Clock-in/Clock-out time with two minutes of each other will be automatically deleted.
    • Records will not be truly 'Deleted'.
      • Deleted records are recorded in Audit History.
      • Deleted records do not display on the Timesheet and are not included in any reports.
    • Timesheets can be approved individually by Employee, or Approve All.
    • Job clock entries cannot overlap other existing job clock entries for employee, regardless of job.
    • If Round Time to nearest is set to '0' or 'No Rounding', time display will show seconds to the fourth decimal.
    • If Round Time to nearest is set to '1' or '5', time display will show seconds as '0'.

Reports

  • New! Manage Timesheets offers a corresponding Timesheet Report.

Processing

Finalize Payroll

  • The finalize process no longer write entries to the ACH Debit and Credit Accounts for Fund 2 payments.

Print Checks

  • Employee check stubs will page break between employees regardless of the number of deductions a single employee has.

Reports: Deduction Register

  • State Retirement Levels for users will display as Retirement + Retirement Level 'Name' (this comes from Employee Retirement Setup).
