Sprint 44 & 45 Release Notes 12-17-2019

This document describes enhancements and corrections for School LINQ.

Employee LINQ

Employee

Profile: Personal

  • NEW! Employees can now easily update their address, phone number, and email address from their employee portal.
    • Information updated or added will update the Demographics tab in School LINQ’s Payroll module as soon as the employee saves the change.

Profile: Contacts

  • NEW! Employees can now easily update, add, and delete their emergency contacts from their employee portal.
    • Information updated, added, or deleted will update in the Contacts / Dependents tab in School LINQ’s Payroll module as soon as the employee saves the change.
    • Contacts can only be deleted if they are not attached to a dependent as the primary caregiver.

Profile: Dependents

  • NEW! Employees can now easily update, add, and delete their dependents from their employee portal.
    • Information updated, added, or deleted will update in the Contacts / Dependents tab in School LINQ’s Payroll module as soon as the employee saves the change.

Profile: Tax Info

  • NEW! Employees can now easily request an update to tax withholdings from their employee portal.
    • Information updated, added, or deleted will update in the Tax / Compensation tab in School LINQ’s Payroll module will update as soon as the employee saves the change.
  • UPDATE! In August 2019, the IRS released the new Federal W-4 for 2020. Starting January 1st, 2020, the Tax Info fields will change to the new 2020 fields.

Requests

  • NEW! The Requests menu allows employees to log all requests, enter new requests, and delete pending requests from their employee portal.
    • School LINQ admins are able to identify which request types are eligible for employees to use within Employee LINQ in the System Settings module.
    • NOTE: Timesheet Adjustment, Missed Clock In, and Missed Clock Out requests are still under construction even though they currently show as an option. They will be available in an upcoming release.

Leave Balance

  • NEW! Employees can now easily request leave from their employee portal.
    • Users will enter information such as their Job, Start and End Dates, and Substitute.
    • Leave is approved and unapproved in School LINQ’s Payroll module.

Reports

Check History

  • Reimbursement checks now display in the employee’s Check History once payments have been processed.

Fund Management

Tabbing

  • Tabbing errors have been corrected.

Accounts Payable

Vendors: General Tab

  • When the Print 1099 box is checked, users are now required to select an option from the 1099 Box drop-down list and enter a Federal Tax ID in the Federal Tax ID field.

Manage Invoices

  • UPDATE! Users are now able to add/edit events on paid/partial paid invoices.

Cash Management

Receipts: Create New Receipt

  • Double-clicking the button will no longer write duplicate data.

Payroll

Deduction Setup

  • NEW! A History button has been added to track changes in deductions.

Tax Tables

  • UPDATE! For tax years 2020 and later, users can now see two different Federal withholding rate tables/withholding allowances.
    • W-4 Step 2(c) Is Not Checked: If selected, the Withholding Allowance for Married Filing Jointly field and the Withholding Allowance for All Other Filing Statuses field will be read-only.
    • W-4 Step 2(c) Is Checked: If selected, the Withholding Allowance field will be read-only.

Manage Employees

Manage Employees: Demographics Tab

  • The Staff ID field has been renamed State ID.

Manage Employees: Jobs Tab

  • UPDATE! Users can now edit the Description field on jobs.

Manage Employees: Tax / Compensation Tab

  • UPDATE! In August 2019, the IRS released the new Federal W-4 for 2020. With the new form, employees will provide withholding amounts instead of the number of exemptions. The new W4 fields have been added to the Federal Tax Info section in order for withholding amounts to be entered. Head of Household has also been added as a valid Federal status starting 2020.

  • UPDATE! Current information populated in the Federal Tax Info section will become read-only on January 1st, 2020. To make a change, users will click an Edit link, which will change the fields to the new 2020 fields mentioned above.
    • Changes will be written to the Audit History.

Reports: Requests History

  • NEW! A Requests History page has been added for users to generate Requests History Reports.
    • The report can be filtered by Request Types, Request Status, Employee, Request Date, and Effective Date.

Manage Timesheets

Manage Requests

  • NEW! Users can now easily view, approve, and deny absence requests submitted by employees from Employee LINQ.
    • When a request is approved, the request is processed, and the employee is notified in Employee LINQ.
    • When a request is denied, the user may enter comments, and the employee is notified in Employee LINQ.
    • Users must have access to request tabs and a Timesheet Approval Group to see employee requests.

Processing

Calculate Payroll

  • UPDATE! In August 2019, the IRS released the new Federal W-4 for 2020. Starting January 1st, 2020, Calculate Payroll will use the new 2020 tax calculations.

Print Checks / Create ACH

  • UPDATE! All W-4 and NC4 information has been removed from the checks/stubs.
